Specifically, the Task Force has been charged with examining the following questions: How can the University enhance reporting capabilities and respond to the data needs of faculty, administrators, and staff? How can the University address these reporting needs in the short-term during PeopleSoft implementation and in the long-term once PeopleSoft is fully implemented? What strategies are needed to leverage new technologies and best practices to support reporting? What resources, if any, are needed to implement any proposed interim and long-term reporting strategies? An integral part of the Task Forces work will involve gathering information, from a users perspective, to help formulate the final recommendations. In order to gather this information, the Task Force will be conducting Focus Groups on each of the campuses with a wide variety of users at various levels of the organization and representing the various functional areas, e.g. finance, fiscal/business officers, human resources. Those participating in the Focus Groups will be asked to discuss a variety of issues to help assess what areas of our current reporting processes are working well and need to be continued, what might need changed, and what opportunities there are for improvement. The results of the Focus Groups will be reported back to the Task Force and, in a summary form, become part of the supporting material for the recommendations to the Vice Presidents. Please be assured that during the Focus Group meetings, any comments, suggestions, and opinions will not be recorded or reported as being expressed by any one individual. What were about VP Charge Task Force variety of functional areas and levels UMC members: Pat Schwartz Pat Morton Mike Nolan Barb Breen What is Reporting? Anything from simple lists to sophisticated analysis Our focus will tend to be on reports from finance, HR, and student and ones that integrate data from more than one system Inordinate amount of resources and costs getting to data Even a minimal savings of 10% could mean millions system-wide We appear to be data rich, information poor What is a Reporting Strategy? Users ( Needs ( Data ( Information ( Reporting ( support for planning & decisions TV Analogy: You have one TV, but it gets its feeds from cable, antenna, VCR, DVD. Multiple sources, multiple functions, and user friendly We have to be able to present our data and integrate it so it will be user and decision-maker friendly Why Now? Resources are critical and scarce, decisions have to be made and decisions are being made Focus Groups Each campus Each major functional area Roll of Focus Groups: Hear what is going well What is not going well Where our opportunities for improvement are Our deliverables: Summarize what we hear (no names) Report back to Task Force to frame the recommendations Incorporate into overall Task Force report Closing remarks: Review deliverables Accountability for Task Force to VPs; accountability for implementation to VPs.
